What You’ll Do:
- Be the welcoming face of our practice. Greet every client and guest with warmth and professionalism, ensuring they feel valued and cared for throughout their experience with us.
- Master the details. Stay on top of every task with impeccable organization and attention to detail, ensuring nothing slips through the cracks.
- Embrace technology. Confidently use tools like Slack, Notion, and electronic health records to keep our office running smoothly and efficiently.
- Manage communications by directing calls, responding to emails and texts promptly, and addressing general inquiries with professionalism.
- Schedule and confirm appointments, ensuring accuracy and timeliness.
- Assist with medical records: request, scan, file and securely transmit files as needed.
- Complete prior authorizations for medical procedures and medications using phone-based outreach and fax.
- Coordinate referrals and facilitate scheduling for specialist visits and imaging, using persistence and excellent phone etiquette to navigate the healthcare system.
- Perform quality control on billing: audit client accounts, create invoices, and process payments during check-in and check-out.
- Handle confidential and sensitive information with discretion.
- Deliver luxury customer service by anticipating client needs, offering beverages, and maintaining a welcoming environment.
- Ensure the office is tidy, organized, and running efficiently, including handling light errands when needed.

- Experience with Payments & Billing: Financial acumen and accuracy in billing are essential.
- Healthcare Experience Preferred: Previous experience in a medical environment is a plus but not required.
- Initiative & Problem Solving: A proactive self-starter who can juggle priorities, think on their feet, and escalate issues when necessary.
- Persistence & Phone Etiquette: Exceptional phone skills and tenacity to connect with individuals in the healthcare community to advocate for clients.
- Adaptability: Thrives in a dynamic environment with shifting priorities.
- Administrative Skills: Strong data entry accuracy, calendar management, and proficiency in scanning, faxing, and other office tasks.
- High School Diploma or Equivalent: Required for this position.
- Sense of Humor: A positive attitude and a good laugh go a long way in our office!
Full-Time (37.5 hours/week):
- Monday: 8:30 AM – 4:00 PM
- Tuesday–Thursday: 7:30 AM – 4:00 PM
- Friday: 8:00 AM – 12:30 PM
