Position Summary:

The Head of Operations will play a strategic leadership role in overseeing the operational infrastructure of Biltmore Family Office.

Reporting directly to the CEO, this position is responsible for ensuring operational excellence, maintaining data integrity across internal and outsourced systems, and driving continuous process improvement.

The ideal candidate will combine strong investment operations expertise with exceptional leadership abilities to support the firm’s objectives.

Key Responsibilities:

Leadership & Process Optimization

• Lead and develop the operations team, providing mentorship and cross-training across operational processes
• Identify and implement process improvements to enhance efficiency, strengthen controls, and mitigate operational risk
• Provide leadership in resolving multi-faceted complex issues requiring cross-functional coordination across the firm

Investment Operations Management

• Develop and implement comprehensive data quality frameworks and standards across all investment data domains
• Maintain investment data integrity and produce high-quality reporting for client families and management
• Oversee the seamless execution of capital calls, distributions, and money movements
• Manage quarterly reporting and client billing processes with precision and accuracy

Technology & Systems Oversight

• Manage key investment platforms and technology infrastructure, specifically Addepar, Canoe, and Salesforce
• Evaluate and recommend new technologies to enhance operational efficiency and data management
• Develop and lead data operations optimization and automation initiatives

Compliance & Risk Management

• Partner with compliance team & consultants to ensure adherence to regulatory requirements
• Assist in developing and implementing internal policies and procedures aligned with industry standards
• Monitor operational risk and implement appropriate controls

Qualifications:

• Outstanding leadership, communication, and interpersonal skills
• Exceptional analytical capabilities, attention to detail, and operational risk mindset
• 10+ years of experience in investment operations or a related function within family offices or asset management firms
• Strong understanding of private equity, public markets, and fixed income structures
• Experience with investment platforms (e.g., Addepar, Canoe, Salesforce) and strong Excel skills
• Proven ability to work effectively under pressure in a deadline-driven environment
• Bachelor’s degree required
