The Financial Aid and Scholarship Manager is responsible for the overall management and administration of Charlotte Latin School’s need-based financial aid program and all scholarship programs.

This role ensures equitable fund distribution while adhering to confidentiality requirements, institutional policies, and regulations, and supports the school’s mission of socioeconomic diversity.

Essential Duties and Responsibilities

  • Program Administration: Oversee the annual financial aid application process from start to finish via Clarity.
  • Case Review and Determination: Evaluate financial aid data, conduct needs analysis, and make recommendations for awards across all divisions while maintaining budget balances.
  • Scholarship Management: Lead the Scholarship Committee, prepare documentation on eligible candidates, and collaborate with the Advancement Office on endowed funds.
  • Supplemental Support Oversight: Oversee disbursement of the Supplemental Support budget and serve as the primary contact for recipients.
  • Bridge Program Support: Support the Student Success office to identify needs for high-need students.
  • Counseling and Communication: Provide clear counseling to families regarding policies and develop updated financial aid materials.
  • Budget and Reporting: Forecast needs, reconcile funds with the Business Office, and generate statistics for leadership and the Board.
  • Compliance and Training: Maintain knowledge of best practices and conduct training for relevant staff on aid policies and confidentiality.
  • Collaboration: Work with the Director of Enrollment Management to integrate financial aid into recruitment strategies.
  • Admissions Team Member: Give tours and assist with events during the school day, evenings, and weekends.

Qualifications

Education and Experience

  • Bachelor’s degree required; Master’s degree in Business, Finance, or Education Administration preferred.
  • 3-5 years of experience in Counseling, Admission, Finance, or Education.

Skills

  • Confidentiality in and out of the office.
  • Exceptional analytical and quantitative skills with high accuracy.
  • Proficiency in database management and spreadsheet software.
  • Strong communication and interpersonal skills.
  • Ability to work collaboratively with diverse groups of stakeholders.

Working Conditions and Environment

  • Intermittently lift, carry, push, and pull up to 25 pounds.
  • Continuously see, sit, balance, grasp, and have repetitive use of arms, wrists, hands, and fingers.
  • Exposure to dust, chemicals, fumes, and machinery.
  • This role requires flexibility for occasional evening or weekend events and long or odd hours, as needed.
