Abacus Capital, Colony Commercial and 1887 General Contractors are seeking an Office Coordinator to join the collective team. The role will support each side of the Firm’s business with both its tactical real estate opportunity-driven investment, services platform and general contracting divisions.

The Office Coordinator role will be a hybrid Marketing and Administrative position that will work closely with all senior members across platforms. The Firm is seeking a well-organized, motivated and high-energy candidate with a great attitude who wants to come to work every day in a fun and fast-paced environment. 

This is a work-from-the-office position.

Key Responsibilities

  • Marketing
    • Provide assistance in any Firm-related marketing efforts and help lead relationship management with the Firm’s outside marketing vendors
    • Graphic design assistance for presentations and flyers
    • Assisting in compilation of materials for presentations and pitches
    • Managing marketing collateral and creative production
    • Broker outreach and communications management
    • Listing coordination and property marketing setup with the various listing services
    • Manage the Firm’s social media presences and website management
    • Lead all event and client entertainment planning and coordination
  • Administrative
    • Certain general executive assistant responsibilities to the Firm’s Partners
    • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on behalf of the leadership team
    • Organizing meetings, including scheduling, sending reminders, and organizing catering, and other office administrative needs
    • Maintaining comprehensive and accurate records
    • Schedule travel accommodations for the leadership team
    • IT liaison for the company
    • Assist in new employee onboarding
    • Charitable/philanthropic coordination
    • Greeting visitors to the office in a warm and inviting manner
    • Global ownership of the physical office space including ensuring all office supplies and canteen are fully stocked with regularity, the office is tidy and anything else necessary to ensure a well-kempt workplace for the Firm’s employees and visitors alike
  • Accounting and Other Responsibilities
    • Provide accounting assistance to the Firm’s controller to include vendor and invoice management, annual and general filings
    • Coordinate investor reporting to include preparing and helping with daily, weekly, and monthly reports for various service lines
    • Market research, and bi-annual reporting
    • Brokerage proposals and document production
    • Data management and systems organization
    • Vendor and contact database maintenance
    • Transaction coordination support

Primary Qualifications

  • At least 2 years (but ideally 4+ years) experience in a professional work environment
  • A bachelor’s degree from a 4-year college or university
  • Advanced knowledge of, and a demonstrated high proficiency in, Adobe, InDesign, and Microsoft Office products such as Excel, Word and PowerPoint
  • A general comprehension of real estate industry
  • Highly motivated, assertive, driven, organized and capable of multi-tasking at a high level
  • Committed to high standards of excellence and ethics
  • Time management and ability to meet deadlines in a fast-paced environment
  • Clear, articulate communicator
  • Goal-oriented, organized, and diligent
  • Exceptional attention to detail

Compensation

  • Base Salary + Annual Bonus
