Let Me Run is a nonprofit wellness program that inspires boys to be themselves, be active, and belong. With a comprehensive curriculum that applies the power of running, the program encourages boys to develop their psychological, emotional and social health, in addition to their physical health.
Twice a week for seven weeks, two trained volunteer coaches lead an elementary or middle school team through practice. Designed to amplify confidence, self-expression, and respect for others, each practice includes a lesson from the Let Me Run curriculum that incorporates running, games and activities. Each fall and spring season culminates in a 5k race festival that celebrates the boys’ personal growth.
Role
The Coordinator will split their time focusing on two main areas: (1) Managing and expanding assigned emerging regions across the U.S., and (2) Providing operations and marketing support for the Greater Charlotte Region program.
Responsibilities include boy, coach and site recruiting, site onboarding, compliance and supply delivery, pre-season and ongoing communication with volunteer coaches and site contacts, management of assigned emerging regions’ finances and seasonal employees, and social media support and 5k race coordination in the Greater Charlotte Region.
Job Description
Site Onboarding and Compliance
Emerging Regions and Greater Charlotte Region
- Manage new site application and principal acknowledgement process.
- Ensure all coaches’ compliance by communicating with coaches about and managing data related to:
- Background checks,
- CPR certifications (if applicable),
- Coach training, and
- Miscellaneous school district requirements (e.g., AED certifications).
- Manage facility use applications and compliance with school districts and other site hosts.
- When teams use paper applications, enter participant registration information into Let Me Run’s internal Pinwheel database.
- Work closely with the National Teams Director and Greater Charlotte Region staff to ensure a smooth season launch.
Team Recruiting and Marketing
Emerging Regions
- Recruit team sites, coaches and boys to participate in the Let Me Run program, which includes marketing LMR to current and prospective team sites and sponsors.
- Understand and use LMR talking points for speaking engagements and public relations.
- Follow LMR branding and logo usage guidelines in all materials and communication.
- Become a LMR coach trainer; coordinate and lead in-person and virtual coach training sessions using LMR materials.
Greater Charlotte Region
- Assist Regional Director in social media implementation.
- Assist Regional Director in coach, parent and regional communications and in development of printed and digital materials, as needed.
Pre-Season Communication with Teams
Emerging Regions
- Communicate with and assist new and returning volunteer coaches regarding training, use of the Pinwheel database and coach portal. Ensure volunteer information is entered into Pinwheel (for Emerging and Charlotte teams).
- Assist coaches in confirming season details (registration information, season dates, team information, 5k race details).
- When teams participate in a community race event, communicate with race directors about logistics and share race information with teams.
- Manage financial assistance process for teams with qualifying families and community race registration fee reimbursement for coaches.
Ongoing Season Communication
Emerging Regions
- Communicate with coaches from pre-season period through season-ending 5K.
- Answer phone calls and emails in a timely manner.
Greater Charlotte Region
- Manage day-to-day communications with school/site contacts, including providing digital and printed materials to schools and sites (in collaboration with Greater Charlotte Program & Event Coordinator).
Team Supply Management
Emerging Regions and Greater Charlotte Region
- Manage all Let Me Run supply matters, including:
- Ordering team bags/supplies and ensuring successful delivery,
- Ordering program shirts and ensuring successful delivery,
- Ordering materials for 5K and other events, such as tattoos, SWAG items, Boy Awards and race medals.
Financial Management
Emerging Regions
- Monitor teams’ invoicing and payments, per Let Me Run policies and procedures. (e.g., race fees, scholarship payments)
- Manage restricted funds in each designated region.
- Secure team sponsorships (as needed).
- Work with LMR’s Accounting Partner to ensure Emerging Regions’ financial compliance at the end of each season.
- Collaborate with LMR’s Executive Director to draft the annual budget for designated Emerging Regions.
Manage Seasonal Employees
Emerging Regions (where applicable)
- Manage seasonal employees in program expansion efforts in select regions.
- Train and guide temporary employees that move to permanent positions in their new role.
Race & Events Management
Greater Charlotte Region
- Manage Charlotte Let Me Run 5K Volunteers – includes recruiting volunteers, ensuring their information is entered in Race Roster or other sites, communicating with volunteers before the race and managing check-in and assignment of volunteers during race.
- Assists Regional Director and Program & Events Coordinator on other Let Me Run events.
Work Collaboratively with Let Me Run National Staff
This position will report directly to the Regional Director of the Greater Charlotte Region and will work closely with the National Teams Director and the Greater Charlotte Program and Event Coordinator. They will also work closely with Let Me Run’s:
Director of Operations:
- For Emerging Regions, communicate season details and fee info for set up in Pinwheel.
- To manage Let Me Run supply ordering.
- For support in using the Pinwheel database.
Executive Director
- To identify and market to expand Emerging Regions.
- With respect to Emerging Regions’ finances and budgeting.
National Director of Marketing and External Affairs
- To identify marketing needs for specific regions and teams and marketing at community 5K events, when applicable.
Let Me Run Staff:
- By attending biweekly staff meetings and any other meetings that may be appropriate.
Requirements for Position
- BA or BS degree or equivalent professional experience
- Personal passion for the mission of LMR and to be a role model for health and self-esteem
- Highly organized and focused, ability to manage dozens of volunteers and maintain motivated and enthusiastic relationships
- Excellent project management skills
- Strong public speaking skills and ability to interact effectively with community leaders, school personnel, volunteers, parents, children and program funders
- Computer competence, included but not limited to: Microsoft Office, Google Suite, data management systems and e-mail
- Ability to attend weekend and evening events (occasionally)
